2.1. We collect personal information from you when you fill in forms on our website, such as when registering an account, purchasing our services, or requesting additional services. Please note that any correspondence you have with us via letter or email may also be recorded for record-keeping purposes. Additionally, for training purposes, telephone conversations may be recorded.

For instance, when registering a domain, we may need to send domain registration data to our registrar located outside the EEA. 6. Data retention
- 6.1. We retain your personal data only for the duration necessary to fulfill the purposes for which it was initially collected, unless otherwise mandated by law. We will retain and use your information as required to comply with our legal obligations, resolve disputes, and enforce our agreements, as outlined below:
- 6.1.1 Invoice data is retained for a minimum of 6 years in compliance with UK Law.
- 6.1.2 Log files are rotated every 12 weeks. However, anonymized data may be retained for a longer duration.
- 6.1.3 Backups of Voteq infrastructure are kept for 12 months. Web Hosting data is retained for 30 days.
- 6.2. In the unlikely event that backups containing personal information are restored after deletion, we will make every reasonable effort to prevent the inadvertent restoration of forgotten data. We will ensure that all traces of data are removed within a maximum period of 180 days, unless additional retention obligations apply.
7. Your rights
- 7.1. As an individual, you have certain rights regarding your personal data under the GDPR. Unless an exemption applies, these rights include:
- 7.1.1 The right to request a copy of the personal data we hold about you.
- 7.1.2 The right to request correction of any inaccurate or outdated personal data. You can review, edit, and delete your personal data through the Voteq control panel.
- 7.1.3 The right to object to the processing of your personal data and request erasure of your personal data if it is no longer necessary for us to retain it. Please note that there may be legal reasons that require us to keep your data, but if you believe we are retaining or using your personal data incorrectly, please inform us.
- 7.1.4 The right to opt out of receiving marketing communications. We will inform you in advance if we intend to use your data for marketing purposes or disclose it to third parties for marketing purposes. You can exercise your right to opt out by following the “Unsubscribe” link in our emails, contacting Customer Services, or writing to us at the address provided.
- 7.1.5 The right to lodge a complaint with the Information Commissioner’s Office. You can find more information on how to make a complaint to abuse@voteq.co.uk
- 7.1. We are committed to respecting and upholding these rights and you can exercise them by following the procedures outlined above
